“How do you calculate leave entitlement?" I asked? I could see Pete’s big sigh… “Well…” he said, “I have a spreadsheet… it takes me a while but it does the job”

I suspected he had a spreadsheet (don’t we all?) but I needed to find more.


“What about your HR system you mentioned in your email?”

“It works for employee info and appraisals but their leave management is very basic. It’s a waste of my time” said Pete.


When Pete joined us on the zoom call, he looked very sceptical. As the owner of 60+ employees care centre, he didn’t have much time for conversations that wouldn’t help him.

That was not news to me either. I regularly speak to customers who have an HR system but they find the leave and absence management module to be too basic.

“So…” said Pete, “I could, in theory, use your free calculator and carry on with my spreadsheet?”


“Yes”, I said “ that would be a viable option”.

“But I would still have to do the tracking manually and the approvals by email? Not to mention overtime” added Pete.


“I suppose that’s your choice.” I said, “Tell me, what’s the biggest problem you have with your current system?”


Pete took a few seconds..


“I know I spend a ton of my time doing calculations… but my biggest problem is having to say "No" to people… every time I have to do it, something inside of me dies. I feel so bad having to decline people’s requests.”

Pete seemed to suddenly become very emotional but I needed a little bit more information

“And why do you have to do that?” I asked.


“Because I need a minimum number of people on shift. I can’t go below that number. And if too many people ask to be on holiday, I have to decline. That’s just how it is.”
